Job description: Construction PROJECT MANAGER
Duties and Responsibilities

- Schedule, administer and participate in all project start-up, weekly and bi-weekly project meetings with project consultants, government agencies, field superintendents and trade contractors.
- Prepare agenda and minutes for all meetings and distribute them to all involved parties.
- Attend coordination meetings with clients and/or their representatives and inform the project manager of their concerns.
Project Planning, Scheduling & Monitoring
- Prepare detailed work schedules as well as periodic schedules, as required.
- Prepare and update construction schedules regularly with the input of the site superintendent, project consultants, and trade contractors.
- Planned, monitored, coordinated, and organized all construction efforts daily, including all required internal and external manpower as may be needed on-site.
- Determine equipment, materials, and supplies requirements.
- Coordinate work of trade contractors, various specialists, and other trades daily and monthly.
- Prepare and maintain a daily log of activities.
- Establish work methods which adhere to delivery timelines and coordinate activities with other departments.
- Resolve all job-site-related problems and recommend measures to increase productivity and efficacy.
- Order materials and equipment required for construction with the respective procurement and logistics departments.
- Monitor, verify and approve labor time sheets and submit to human resources.
- Coordinate and arrange all site logistics (i.e. construction site mobilization, demobilization, and transfers to other sites).
- Verify and monitor construction site inventory (equipment, tooling and materials, etc.) and send the information to the logistics department.
Project Communications
- Administer and distribute drawings, specifications, site instructions, addendums, and site and material inspection reports.
- Provide general written and oral correspondence with clients, trade contractors, suppliers, and site personnel.
- Maintain as-built record drawings and close-out documents and ensure same are always up to date.
- Complete project wrap-up with all project consultants and the Employer.
- Exercise legal due diligence including the maintenance of daily job history logs, inspections of workmanship etc. to ensure compliance with contractual obligations and identify resources or actions required to mitigate potential risks and hazards.
- File all construction site documents according to Employer’s archiving procedures.
- Submit the construction site logbook, documents, as-built drawings and annotated copies to the owner/Employer.
Costing & Project Monitoring
- Produce initial project costing and cost control breakdowns by divisions.
- Complete pre-tender preparation, including quantity take offs, sourcing and comparing quotations, preparation and review of tender submissions, etc.
- Prepare and review estimates from the early design stage up to tender drawings.
- Calculate and validate quantities from project drawings, BIM models, shop/fabrication drawings and utilize that information to conduct field quantity surveyor analysis.
- Prepare and review contract scope of work and breakdowns for construction contracts.
- Assist in the selection of construction site personnel.
- Prepare tender and contract documents, including bills of quantities.
- Communicate and negotiate with consultants, suppliers, contractors, and trade contractors.
- Evaluate tenders from suppliers, contractors, and trade contractors.
- Appoint and allocate work to trade partners.
- Monitor and track distribution of project drawings and specifications.
- Create and manage relationships with existing and future consultants, vendors, and trade partners.
- Prepare, review, monitor, issue, and evaluate contractors/ trade contractors’ change orders about their respective project scope.
- Monitor budget and construction contracts for cost overruns related to incorrect billings by trades/vendors.
- Update budget vs. actual project costs for all jobs in progress once per month.
- Cost-code all trade contractor and supplier invoices and identify any miscodes to be reassigned by accounting.
- Prepare initial billing breakdown on Excel and obtain breakdown approval from sub-trades (may require input from site superintendent and project consultant).
- Prepare sub-trade payment certificates upon receipt of billing approval amounts.
- Request weekly progress worksheets from site personnel.
- Assist in the monthly progress billing to be submitted to the project monitors for approval, including the collection of all required supporting documents (Certificate of Insurance, Statutory Declarations and WSIB, etc.).
- Prepare, validate, and maintain all project schedules.
Health and Safety
- Ensure corporate and governing occupational safety standards are respected, maintained and enforced. Monitor and recommend improvements.
- Ensure site personnel perform safety orientations, safety talks, site inspections and safety meetings as required.
- Conducting weekly reviews of Health, Safety and Environmental events.
- Expedite MOL Registration of Employer forms from sub-contractors and suppliers that will be working on site before commencement of work.
- Request and obtain all contract startup documents for all vendors, suppliers, and trade contractors before the commencement of work.
- Obtain, post, and review trade contractors’ safety policy documentation.
- Ensure all incidents are reported to the safety officer and incident reports are completed. Review documentation, distribute and file as necessary. In the event of an accident, ensure all required WSIB forms are completed and submitted within the deadline specified.
- Review and update the Employer’s Health and Safety Policy once per year and ensure the same is maintained on-site, as required.
- Track site personnel training expiry dates and ensure all site staff is appropriately trained.
Procurement & Contract Administration
- Review budgets before purchasing or renting equipment or supplies.
- Utilize the Employer’s supply of excess materials or equipment before placing orders.
- Source and negotiate competitive costs from suppliers and trade contractors.
- Issue and approve all purchase orders.
- Check all orders/contracts for completeness (i.e. description, cost codes, delivery, payment terms, etc.).
- Review all construction-related invoices and approve them for posting.
- Manage all contract specifications, tender documents, tender and bid process, contract documents, and administration of same.
- Analyze tender documents and develop competitive product offerings, meeting the intent of the project requirements.
- Make applications for substantial performance by the Contract and Construction Act.
- Ensure substantial performance certificates are published as required immediately upon receipt from payment certifier, where applicable.
- Prepare and distribute contract release letters to all subcontractors for their acceptance before the release of holdback monies.
Other
- Mentor junior construction staff and site personnel.
- Foster a positive work environment among site personnel.
- Other duties may be assigned by the Employer from time to time.
