Job description: The Role: Project Coordinator/EstimatorProject Coordinator/Estimator provides support to Operations to provide excellent client service in its civil enhancements and landscape portfolio and services and provide accurate and timely preparation of full-cost estimates for projects and tenders working with our business growth Team in developing bids and proposals, contract evaluation, and client presentationProject and Operations Support
- Coordinates supply chain requirements with the Operations team to ensure the contract is executed correctly and promptly
- Supply chain requirements include locates, material coordination, plants procurement and delivery, client communications, schedule coordination with Operations, etc.
- Provides work breakdown plan to be used by Operations Manager for planning
Business Growth Support
- Maintain and organize client databases in Acumatica.
- Support the team in the preparation of the bids and tenders including measurements, locate sheets, technical documents, etc.
- Prepare and maintain client documentation, administer, and maintain client files and presentations, etc.
- Assist with the planning, development, implementation, and monitoring of sales strategies, including targets, budgets, schedules, and forecasts.
- Coordinate special projects, including promotional events and marketing campaigns
- Work with the Client Services Managers and clients on process, quality, and service improvement initiatives.
- Work with Sales and Stakeholders on any improvements to website content and updates
- Attend sales, operations and management meetings as requested
Estimating Support
- Review proposal specifications and drawings to determine scope of work and required contents of estimate.
- Contact sub-trades and material suppliers regarding pricing of materials, supplies, and services
- Keep a record of addenda, and review addenda scope to determine changes to original tender scope
- Send addenda to suppliers and sub-contractors as they are received, and as applicable to each sub-trade
- Conduct quantity take-offs using estimating software for all areas of the estimate and transcribe measured quantities into CSL’s pricing template.
- Assist in the selection and maintenance of sub-contractors within CSL Group’s Estimating Database
- Develop and maintain relationships with vendors, sub-contractors and suppliers, while actively seeking out new quality vendors to be added to the sub-contractor database.
- Attend pre-bid meetings on site to determine bid size, scope, and complexity
- Assist in the delivery of tenders and attending bid openings
- Review all unusual pricing requests with the senior estimator
- Monitor and record pricing trends for bids submitted in various areas and throughout different times of the year
- Prepare and/or coordinate the preparation of full cost estimates on conceptual, design-build or general tender work.
- Maintain files of working documents as back-up for estimate figures, including current (accurate) information on prices from suppliers through direct contact, sales brochures, price lists, etc.
Requirements:
- A Bachelor’s degree or diploma in a relevant discipline (Engineering, Project Management, Marketing, Business Development etc.) Or equivalent work experience.
- Intermediate to advanced Excel skills (ability to perform data analysis using lookups, pivot tables, etc.)
- Working knowledge of Power BI, Microsoft Office Suites including Word, PowerPoint, and Visio
- Thorough with strong attention to detail
- Analytical with strong problem-solving skills
- Excellent organizational skills and time management
- Strong communication skills, both written and oral
- Ability to work independently with minimal supervision and guidance
- Ability to work collaboratively with cross-functional teams
- A strong understanding of the landscaping industry, construction, or a similar market
